We are now looking for a talented Vendor Contracts Associate to join our team in Japan. As the Vendor Contracts Associate, you will ensure contracts are in place with vendors prior to work commencing on projects and ensure that operational vendors are assessed, approved and governed in line with companywide documented practices. Provide expertise as needed within the MRN Support Vendor Services team as required.

The Vendor Contracts Associate will be responsible for.

  • Vendor Search & Selection – Identify new vendors, initiate contact, share company information, and facilitate NDAs.
  • Vendor Qualification – Assess vendor documentation, support qualification, and integrate vendors into the governance program.
  • Vendor Governance – Analyse vendor performance, manage meetings, and support governance-related decisions.
  • Vendor Relationship Management – Build relationships to optimise cost, contracts, and service capabilities while considering regulatory requirements.
  • Project Contracting – Define project scope, create RFPs, negotiate contracts, and transition agreements to the Operations Team.
  • Cross-Department Collaboration – Provide vendor capability insights and cost details to Sales, Proposals, and Operations teams.
  • Invoice Reconciliation – Match invoices to contracts, resolve discrepancies, and track completed units.
  • Equipment & Supplies Management – Oversee project equipment and supplies using asset tracking systems.

Skills, Experience, and Qualifications…

  • Knowledge of the clinical trials environment would be beneficial
  • Knowledge of vendor relationship management process
  • Experienced with MS package including MS Word & Excel
  • Experience in use of CRM’s preferred
  • High level of verbal and written communication in Japanese and English
